Provide technical and administrative support to the Project Team to ensure quality and timely execution. Manage document coordination and recording, keep in contact with cross-functional teams, as well as, Subcontractors, Suppliers and Consultants. This role will act as the point-person for construction documents including meeting minutes, issues (“change”) log & subsequent draft change orders, production reports, etc. Other functions may also include: scheduling assistance, Subcontractor/Supplier buyout, management of submittal packages, etc. All field correspondences, administration, computer guidance project management software, filing, and progress reporting is the responsibility of this position. A Field Administrator must be flexible and able to work well in a fast-paced environment. He or she should be competent in handling simultaneously occurring tasks and smaller projects, and have excellent written and oral communication skills.




  • Prepare daily reports as related to crews, progress and issues
  • Provide document control for correspondence
  • Assist in the preparation of final records for the project, including as-builts
  • Represent EXXCEL in a business-like and professional manner
  • Assist in carrying out a variety of basic field administration duties at the job site
  • Maintain electronic files – via various websites and software such as MS Office Suite - including Outlook, Viewpoint, Dropbox, Salesforce, etc.
  • Maintain all physical (paper) files – this includes cycling out files for offsite storage (as applicable)
  • Ensure all project Subcontractor, Supplier & Consultant (“Vendor”) firms and contacts are being entered and managed accurately in the “Team Lists”
  • Type, assemble, organize, file, distribute, etc. project specific Meeting Minutes, Submittal Packages, RFI’s, etc.
  • Assist in format and content of project specific reports as required
  • Provides on-going project related feedback to Project Leadership & cross-functional team(s)
  • Ensure all project Meeting Agendas & Minutes are drafted, stored and distributed accurately and in a timely fashion
  • Ensure all project photos (both ground and aerial) are stored and distributed appropriately
  • Prepare scope packages for bidder solicitation
  • Research and solicit said vendors as directed during bidding process
  • Assist Project Engineers in collecting and summarizing bid packages
  • Assist in ensuring all potential Vendors have been contacted and accurately instructed of our prequalification process and all solicited vendors are being accurately managed during the bidding phase




  • Must have knowledge of basic computer systems and software
  • Must be able to communicate effectively both orally and in writing
  • Ability to read and interpret drawings and specifications not required but beneficial
  • Willingness to work outdoors in all weather conditions is recommended
