  • Overview

    To be the “face” for customer service and possess the skills necessary to address the customers, vendors and clients in a positive, wiling and helpful manner.

    Responsibilities

    Reception                                                                                                                                                                                                          

    • Answer phone in timely manner and direct to the correct party. If party doesn’t answer, direct to voicemail. Take messages as necessary.
    • Greeting visitors and clients, making sure appropriate parties are notified.
    • Setting up meetings on conference room calendars. Setting up conference room for meetings, when needed.
    • Ordering food for meetings as needed.
    • Distributing and organizing mail
    • Kitchen Duty
    • Employee Birthday Celebrations
    • Anniversary/ Birthday Cards
    • Parking

     

    Administrative                                                                                                                                     

    • Print, scan, or copies any documents needed, including drawings on the plotter.
    • Create binders or bind documents as needed. Update and create Vista Manuals for employees.
    • Type up any letters or documents needed.
    • Filing for Operations and Accounting as needed.
    • Send out packages and documents
    • Set up travel arrangements including flight, car, and hotel
    • Keeping track of all supplies we have and ordering when needed. Includes all kitchen supplies as well. Stocking all supplies/beverages.
    • Assist Contract Administrator with any duties.
    • Assist with bidding and contractor solicitation on projects as needed.

    Assist with any administrative tasks on projects as needed          

    Qualifications

     

    Knowledge of Communication, Customer Service, Microsoft Office, Adobe Acrobat, and Vista

    HS diploma or GED
